EXECUTIVE ASSISTANT

IMT Insurance is hiring an Executive Assistant to provide high-level administrative support to the President & CEO of IMT and other senior leaders within a dynamic property and casualty insurance company. This position is responsible for managing schedules, coordinating meetings, preparing reports and presentations, handling confidential information, and serving as a liaison between executive leadership and internal/external stakeholders. A DAY IN THE LIFE

  • Manage and maintain the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
  • Aid in coordinating and executing executive meetings and board meetings.
  • Draft, proofread, and edit correspondence, reports, presentations, and other documents.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Act as a liaison between executives, staff, board members, clients, vendors, and regulatory agencies.
  • Assist in coordinating company events, meetings, and conferences.
  • Monitor and prioritize incoming emails, calls, and mail; respond on behalf of executives as appropriate.
  • Support administrative needs of other leadership team members as required.
  • Assist with project tracking and execution of key business initiatives.
  • Perform general office management duties, including maintaining files, ordering supplies, and supporting operational workflows.

DESIRED QUALIFICATIONS

  • A college education and 5+ years of related experience.
  • Must possess excellent organizational skills, ability to multitask and prioritize workload.
  • Must be detail oriented while maintaining accuracy with the ability to proofread and produce accurate, professional documents, reports, correspondence and information.
  • Must have demonstrated excellent oral and written communication skills.
  • Must be able to communicate professionally and tactfully at all times on behalf of the CEO.
  • Must possess a broad knowledge and understanding of company operations and business objectives.
  • Use discretion, judgement and knowledge of the organization to facilitate executive activities.
  • Ability to operate standard office equipment and proficient in Microsoft Office (Outlook, Word, PowerPoint, Excel).
  • Confidentiality is required at all times.
  • Must possess the ability to work well with others.

The salary range for this position is $61,000.00 - $79,000.00

This position is not eligible for tips or commission but may be eligible for additional bonuses
